Email filters – automate your inbox

Are you tired of manually moving invoices to the appropriate folder or assigning emails from specific clients to the right employees? Filters in Sugester are intelligent rules that will automatically perform these repetitive tasks as soon as a message arrives in the system.

Where to find filter settings?

You can access filter management by navigating through the main menu:

  1. Click the application icon (four dots) in the upper right corner.
  2. In the Mail section, select Filters.

  1. You will see a list of all configured rules, their priorities, and the actions they perform.

    How to create a new filter?

    To add a new rule, click the blue Create filter button on the left side or the plus icon above the list. The filter creation form is divided into two parts: Conditions (when the filter should trigger) and Actions (what it should do).

    1. Setting conditions (When?)

    You can specify what characteristics an email must have for the filter to “catch” it:

    • Domain or Sender Email: e.g., all emails from @company.pl.
    • Inbox: the filter can operate only on a selected email address.
    • Email Subject: the system can look for specific words, e.g., “Invoice” or “Urgent”.
    • Original Responsible: you can filter emails that by default go to a specific employee.

2. Setting actions (What should the system do?)

When a message meets the conditions, Sugester can automatically:

  • Change priority: star the email.
  • Assign to an employee: the New Responsible field will direct the email straight to the selected person.
  • Move to a folder: the New Folder field will sort the mail (e.g., to the “Orders” folder).
  • Redirect: send a copy to another email address.
  • Archive or delete: automatically move the message to the trash or archive.

Why is it worth using filters?

  • Time-saving: The system performs repetitive operations in a fraction of a second after receiving a message.
  • Order in the Inbox: Your main inbox becomes cleaner, and important messages immediately go where they belong.
  • Instant response: Thanks to the automatic assignment of responsible persons (e.g., an email from a VIP client goes straight to the dedicated caretaker), response time is significantly reduced.

Priority tip: Pay attention to the Filter Priority field. If multiple filters can apply to one message, the system will execute the one with the highest value first (e.g., a filter with priority 3.0 will be executed before a filter with priority 1.0).
