The CRM module allows you to maintain a database of clients and contacts. The client file is a central place where you collect contact information, collaboration history, and connections with other modules — emails, tasks, or helpdesk tickets.
Access Path
4 dots → CRM → Clients → New client or edit an existing one.
Basic Data
Client Name
The main name identifying the client in the system — usually the company name or the first and last name of an individual. It appears on lists, in the search engine, and in connections with other modules.
External Identifier
A field for your own client identifier from another system (e.g., number from ERP, Fakturowni, or another database). Useful for data synchronization between systems and integration via API.
Description
A field for any information about the client — scope of cooperation, important agreements, contact preferences. Supports Markdown formatting.
Status
The status allows you to mark the stage of the relationship with the client (e.g., Lead, Active, Inactive, VIP). You define statuses in CRM → Statuses — you can create your own with any names and colors.
Personal Data
First Name
The first name of the contact person. Together with the last name, it appears in the header of the file and in emails sent to the client.
Last Name
The last name of the contact person.
Short Name
A short name or acronym that facilitates quick searching for the client (e.g., company abbreviation). It appears in search results next to the full name.
Contact
Email
The main email address of the client. It is used to link with emails in the Email module — the system automatically connects incoming messages with the client file based on this address.
Phone
The client’s landline phone number. It appears in the file and is available in integration with the VoIP module.
Mobile Phone
The mobile phone number. Independent of the landline number — you can have both simultaneously.
Company Data
Position
The position of the contact person in the company (e.g., Sales Director, Accountant). Helps identify the right person to contact.
NIP
The tax identification number of the client’s company. Used, among other things, in integration with Fakturowni for automatic invoice issuance.
REGON
The REGON number of the client’s company. Optional field — useful for verifying company data.
PESEL
The PESEL number of an individual. Optional field — mainly used in industries requiring personal identification (e.g., insurance, legal services).
Tags
Labels assigned to the client (e.g., premium, partner, wholesale). Tags allow filtering and grouping clients on lists. You can add any number of tags — just type the name and confirm.
Address
Street
The address of the client’s headquarters or correspondence address.
Postal Code
The postal code in a format appropriate for the client’s country (e.g., 00-000 for Poland).
City
The city of the client’s headquarters.
Province
The province or region — a text field where you can enter any value.
Country
The client’s country. Useful for servicing foreign clients and geographic reports.
Additional Data
Website
The client’s website address. Appears as a clickable link in the file.
Domain
The client’s internet domain (e.g., firma.pl). Can be used for automatic recognition of the client based on the sender’s email domain.
Bank
The name of the client’s bank — optional field, useful for maintaining financial documentation.
Account Number
The client’s bank account number.
Note
A field for internal comments visible only to the team (e.g., Client prefers email contact, Payments within 14 days). Not visible to the client.
Assignments
Project
Linking the client to a project in the Organization module. Facilitates filtering clients in the context of a specific project or campaign.
Department
The department in your company responsible for servicing this client (e.g., Sales, Support). Useful for larger teams with divided responsibilities.
Responsible Person
A system user assigned as the client’s caretaker. This person sees the client in their “My Clients” view and can receive notifications about the client’s activity.
Sales Value
The total sales value realized for this client. Numeric field — you can update it manually or through integration with Fakturowni.
Related Client (Buyer)
Linking to another client in CRM — e.g., parent company, intermediary, or capital group. Allows building a hierarchy of connections between clients.
Recipients
A list of additional email addresses of people who should receive copies of correspondence regarding this client (e.g., CC to a supervisor, accounting department).
